Meeting Minutes
July 14, 2005
President Dave Cavey called the HZBA monthly meeting to order at 12:00 pm

Officer Reports:
- President: Dave welcomed everyone to the meeting.
- Secretary: The minutes from the May meeting were approved as written. There were no meeting minutes from June as this was our summer social.
- Treasurer: Ending balance @ 6/30/05 is $10,111.78
Old Business/Open Items:
- Working budget needs to be developed
- Vote needs to be taken regarding changing our meeting time to a breakfast meeting
- Al attended a recent Hereford Community Association meeting and reported attendance was low. He explained the goals and mission of HZBA.
- A big thank you was given to Dianne Fowler for her efforts on the summer social. Great food, cakes and a great time was had by all as evidenced by the fact our guests stayed longer than usual!
Committee Reports:
- Directory: This topic was again the focus of our meeting. Rose presented an option to produce a glossy "Directory Booklet", approximately 8000 copies to be mailed to all residents within the zone zip codes. An undetermined amount of extra copies will be printed for the Fall Fest and for new families moving into the zone after the mass direct mailing. Discussion ensued, with no final decision made on the "Directory Booklet" and the one-page "Directory Listing". It was suggested we place the "Directory Listing" into ARRIVE or perhaps place a small ad directing readers to the HZBA website. Dave tabled the discussion until next meeting where he would like to see a decision made.
- Membership: we welcome new members Oldfield's, Slade's Inn, and Staples. Paulette volunteered to help John with membership and Mary will help with the baskets. Baskets will be for Fall Fest only; no holiday basket this year. Please get your donations into John early. Gifts help fill the baskets vs. certificates-but all items are welcomed and appreciated!
- Web Master: Committee met twice and is in the process of "sprucing up" our site. The roster and calendar still need to be completed. They are working on the Classified Ad page and evaluating software. The question was raised as to whether the page would be free to members. Thank you Mary Pitt for reviewing/verifying the member information for our site!
- Fall Fest: Set for Saturday and Sunday, October 15 & 16th, running until 5:00 pm. Mary will send a letter inviting all members to participate in the day. There will only be one mailing this year. Members may share in the HZBA tent, or purchase a larger space from the HVFD. Space is available on a first-come/first-served basis.
- Welcome Book: The remaining 65 booklets will be brought to the next meeting, ready for delivery to Freeland. Ken Bullen of Graul's indicated they have only had a couple of their coupons redeemed from the Welcome Book. He invited any HZBA member to include any of their marketing pieces within the Graul's welcome envelope.
- Mini-Golf Outing: A thank you letter was written to Hereford Golf Center for graciously hosting our event. We raised nearly $400 for the Cluster Food Bank. Diane noted recommendations for next year and thanked her volunteers: Dave and daughter, Al, John, Sharon, Henry, Paulette, Mary, Anne Fowler and Glenn and his wife. The following Hole Sponsors owe HZBA: Woodhall, Real Appraisals, Sovereign Bank, Mason-Dixon Arrive, St. James Academy, Dr. Zorn, Food by Fire and Wheatley Associates. Please forward your check to the PO Box.
